Membership & Programs Assistant

PEN American Center, the largest branch of the world’s leading international literary and human rights organization, seeks an administrative assistant for its literary programs and membership initiatives. This entry level assistant position will provide administrative support for PEN’s Membership and Public Programs Departments and work closely with PEN’s Children’s & Young Adult Book Committee to bolster existing programming in high schools and other venues. The assistant will be responsible for correspondence and scheduling; processing membership dues, managing new member applications and renewals; coordinating communications with publishers and educators; and helping to facilitate member-led initiatives such as readings, talks, and other events in high schools under the direction of [the/a] supervisor.

The position offers an exciting opportunity to work directly with authors, educators, arts administrators, and literary professionals committed to defending PEN’s core mission, the defense and celebration of free expression. The successful candidate will be hard-working, detail-oriented, thorough, and able to simultaneously juggle multiple projects in different phases in a fast-paced office. The ideal candidate should have excellent written and verbal interpersonal skills and be willing to roll up his/her sleeves to engage with a range of literary programming and initiatives.

This is a full-time position in our New York City office and some evening work will be required. The right applicant will be hired initially for a one-year term. The Membership & Programs Assistant will report to the Director of Membership, Marketing & Literary Programs. Candidates representing diverse backgrounds strongly encouraged to apply.

Responsibilities include:

  • Research authors as directed by supervisor and using publishing house catalogues or other means
  • • Liaise with publicists to request bio/photo/books
  • • Correspond with the school administrators/teachers and schedule events
  • • Draft show flow with supervisor for author appearances
  • • Discuss audio visual needs with venue/partner
  • • Work with publicists to schedule author logistics
  • • Draft descriptive copy of event for web site/blog
  • • Handle permissions for all event participants
  • • Attend monthly Committee meetings and take minutes
  • • Support Children’s & Young Adult Book Committee with follow-up, outreach, and launch of new initiatives
  • • Process membership renewal payments in PEN’s donor database and submit regular reports to PEN’s Director of Finance
  • • Monitor PEN’s Membership email accounts; address queries
  • • Monitor PEN’s online orders account and field any online ordering inquires
  • • Manage the distribution of Membership invitations, including vetting online membership applications on a weekly basis
  • • Administer regular social media promotion of and interaction with PEN’s membership base
  • • Distribute electronic membership renewal acknowledgments
  • • Update/maintain membership pages on PEN.org
  • • Coordinate the dissemination of PEN’s quarterly membership renewal campaigns

The successful candidate will possess:

  • • Knowledge of and interest in contemporary literature
  • • Excellent written and verbal communication skills
  • • Excellent organizational skills and an ability to manage multiple tasks
  • • Friendly manner and collaborative working style
  • • Proficient in database management; experience working with an online grants management system a plus
  • • Familiarity with PC and Mac platforms; facility with InDesign, Adobe Photoshop, and Adobe Acrobat
  • • Experience with e-marketing software applications
  • • Sales and customer service experience a plus
